Ordering Production Uploads
See Ordering Uploads for who to call to order monthly production uploads. Production Uploads update your new business for you each month, taking most of the work out of monthly updating.
Before you upload production 1. You must tell the model which fulfillment source belongs to which model source. You do that by going to the Current Inventory block of each model source and entering the fulfillment source code that belongs to that model source and the renewal line code that the expires for that fulfillment source should be pointed to. If you have two model sources for the fulfillment source - one for projected production and one for actual production use the "actual" source. If the fulfillment source is a new business source put the codes on the Curr-Cnv. line. If the fulfillment source is a renewal source put the codes on the Curr-Reg. line so that the Production Upload will know not to add the production for that source (that is handled by the Renewal Lines block). Put the fulfillment source code in the first Src Code column and the renewal line code in the adjacent Renl Line column. If you have more than one fulfillment source code for one model source (such as a Miscellaneous Agents source) use one pair of Src Code and Renl Line columns for each fulfillment source code. The fulfillment source codes must be entered exactly as they appear in your upload file - characters are usually upper case (A not a) and numeric codes are often two characters (01 not 1). 2. You must tell the model into what model period(s) to put the production for the month for which the production upload was pulled. This is done in the Fulf. Month column of the Pubilication Schedule block. For a monthly model you need only tell the model what fulfillment month corresponds to the month on the first line of the block. For example:
tells the model that the production for the 12/99 fulfillment month should be put into effort lines with model month 1/00. For a weekly model you must tell the model the first week of each fulfillment month. For example:
tells the model that the production for the 12/99 fulfillment month should be put into effort lines with model weeks 1/00 to 4/00. In a weekly model make sure that you always have at least the start of the next fulfillment month entered so that the model knows what weeks belong to the current month. 3. You must tell the model what model periods correspond to what issue numbers in the Fulf Iss # of the Publication Schedule block. For fulfillment companies which assign sequential issue numbers (e.g. 432, 433, 434, etc.) you need only tell the model the issue number for the first issue in the block and the model will assume that the numbers are sequential from there. For fulfillment companies which use the yynn issue numbering scheme (e.g. 11, 12, 101, 102, etc.) you must tell the model the issue number for the first issue in the block and then the model period/issue number for the first issue of each new year. For example:
You should do this for at least 5 years because some unidentified renewals start a long way into the future. In the Upload menu choose Production and then your fulfillment house. Then find the upload file to be used and click "Open". You will see on the bottom left a quick % climb then you a dialog box headed "Production Upload": The box labeled "Combine future starts totaling less than " tells the model to combine small numbers of subs that start at least 3 months out into a "weighted average" start issue. This is strongly recommended to avoid having lots of effort lines with 1 subs starting several months in the future. The "weighted average" start issue is found by taking the number of starts for each issue multiplied by the number of issues into the future and dividing the total by the total number of starts. For example, if there are 4 starts 10 issues from now and 1 start 15 issues from now the weighted average start issue is 11 issues ((40+15)/5) from now. What gets updated The upload will replace any effort lines for the month with the actual new business received and the actual credit percentage for DTP sources. For all but Business Week uploads the new effort lines will use the same price and term breakdown as was used for that month (or the nearest month if there wasn't an effort line for that month). A Business Week upload can contain the price and term breakdown. |
